The Receptionist is the first person a client or customer sees or talks to when arriving at or calling Halderman Companies. As such, you will greet, assist and provide direction and information to the clients, visitors, and other guests, in a positive, supportive and energizing manner. WORK SCHEDULE
This position is fulltime, M-F 8am – 5pm. This position is not available for work from home, as this person will be required to be in office 5 days/week in our main location, Wabash, IN. There is a 1hr lunch period from 12:00-1:00 pm.
Pay Range is $15.50 - $17.50 based on experience.
REQUIRED SKILLS AND QUALIFICATIONS
- Basic understanding of administrative and clerical procedures and systems
- Excellent interpersonal and customer service skills
- Ability to answer multiple line phone and route calls where required
- Excellent listening and communication skills
- Attention to detail
- Maintain confidentiality of all Halderman Company’s records
PREFERRED SKILLS AND QUALIFICATIONS
- Previous experience as a receptionist
- Basic knowledge of Microsoft products, Adobe (to edit. pdf’s)
- Working knowledge of copier/scanning equipment
- Real estate experience or knowledge in the field would be helpful (License not required)
RECEPTIONIST RESPONSIBILITIES
- 1st answering phones
- Answer, screen, and direct phone calls, provide caller info, take messages as required
- Greet clients, visitors, and guests
- Determines the purpose of each visit and direct or escort to the appropriate location
- Maintain all office and kitchen supplies and place orders when needed
- Maintain copier/scanner equipment
- Keep paper loaded at all times
- Process copier jobs for others as needed or requested
- Call for repairs and/or maintenance when needed
- Mail Processing
- Maintain postage machine including downloading cost updates and loading funds
- Pick up mail at the post office each morning…promptly sort and deliver to proper person
- Prepare all outgoing mail for the office
- Receive mail, documents, packages and courier deliveries and distribute items
- Perform administrative and clerical support tasks
- Schedule company lunches as needed, etc.
- Assist with managing building, grounds, vehicle maintenance
- Notify employees of scheduled appointments
- Be the contact person for the office cleaning company for schedule changes
- Make appointment for any needed repairs and maintenance
- Handle special orders for the company
- Act as main contact with apparel company to periodically open the store, place orders, ensure orders received are correct and deliver to proper person
- Order and manage company gifts for employees and company meetings
- Performs other duties as requested
REAL ESTATE RESPONSIBILITIES
- Help in maintaining the listing “Hold” notifications
- Enter data into the MLS software & update the MLS spreadsheet
- Act as a backup for online auctions
- Assist in loading equipment on day of auction
- Be an active member of the auction team for live auctions
- Scan real estate closing documents as needed
ACCOUNTING RESPONSIBILITIES
- Accounts Payable
- Stamp invoices paid with check info, file in appropriate company file
- Stuff checks and prepare for mailing
- Help in verifying wire instructions with title companies
- Annual assistance
- Prepare HFMS & HRES AP files for the next year
- Call vendors for copy of W-9 as needed for 1099’s
- Stuff and mail 1099’s
- Assist accounting department with projects as needed
PHYSICAL DEMANDS
While performing the duties of this position, you will be sitting for long periods of time while using a computer. The employee must occasionally lift and/or move up to twenty (20) pounds.
